  • Accounts Payable Specialist

    Silicon Valley International School is seeking a full-time accounts payable (AP) specialist to join our finance team to help process, track, and record payments in an accurate, efficient, and timely manner. This individual will play a key role in the financial functions of the school, supporting the Controller. This individual will be someone who is detail-oriented, takes the initiative, has a can-do attitude, and is a team player.
     
    Our school is delighted to present a comprehensive salary and benefits package that is both competitive and attractive. Our package comprises medical, dental, and vision insurance, a 403(b) retirement plan, paid vacation time, and paid sick leave. The salary range for the present position ranges from $31.00 to $35.00 per hour. The final salary package is contingent on the individual's skill set, experience, and educational qualifications.     It is a prerequisite that all potential candidates have received full vaccination against COVID-19.     Responsibilities:
    • Assemble, review, and verify invoices and payment requests
    • Request and review W-9 forms from new vendors
    • Flag and clarify any questionable invoice terms or pricing issues
    • Match POs, packing slips, and supporting documentation with invoices
    • Coordinate with various departments to obtain approval for payment
    • Code invoices and payment requests
    • Scan and upload invoices into the accounting system
    • Perform weekly check runs
    • Enter weekly electronic transfers and payments
    • Monitor all vendor accounts to ensure payments are current and up-to-date
    • Maintain vendor files
    • Track use tax and assist Controller with quarterly filings
    • Identify vendor 1099 status and transactions and responsible for annual 1099 filings
    • Manage all 80+ PEX cards and 15+ credit cards to ensure receipts are provided timely for month-end close; charges are allowable per school policy, and coding of transactions
    • Other duties as assigned by the Controller
     
    Qualifications:
    • Bachelor’s degree in business, with an emphasis in accounting or finance
    • 3 to 5 years of accounting experience
    • Nonprofit accounting experience is preferred but not necessary

  • Director of Facilites

    Silicon Valley International School (INTL) is the premier international school on the West Coast. It offers French, Chinese, and German language programs for Preschool through 12th grades and the full continuum of the International Baccalaureate—the Primary Years, Middle Years, and Diploma Programmes. 

    INTL is situated on two campuses within minutes of each other. The lower school campus is located in Palo Alto, CA, and the Early Years & Upper School programs of the school are located in Menlo Park, CA, in the San Francisco Bay Area. As a PS-12th grade private, independent, international school, we have an enrollment of approximately 700 - 800 students. Our students come primarily from the San Francisco Bay Peninsula area, Santa Clara, and San Mateo Counties.

    Position Overview

    Reporting to the Chief Financial & Operations Officer, the Director of Facilities (“the Director”) is charged with managing the school’s plant services, facility use, maintenance and renovation of buildings, grounds, landscaping, custodial services, construction activities, and security systems. All management and oversight of the school’s physical assets and properties is performed from an operational and strategic perspective.

    The Director also serves as the school’s Americans with Disabilities Act (ADA) coordinator, OSHA safety officer, and point of contact for all regulatory agencies to ensure compliance with all applicable codes, laws, and regulations.

    The Director identifies needs for planned future facility modifications and additions and is responsible for ensuring adherence to an established maintenance program while responding to unexpected, immediate maintenance needs.

    Finally, the Director leads the school’s sustainability efforts as the school continues to lower its carbon footprint.

    This position will report to the Chief Financial and Operations Officer. The salary range for this position is $110,000 to $140,000, depending on academic attainment and relevant work experience. 
    Essential Duties and Responsibilities include the following:  

    Leadership Responsibilities
    • Provides leadership for the School’s facility assets and operational needs, driven by the school’s Strategic Plan and daily operational activities;
    • Provides leadership, supervision, and support for all landscaping, security, and custodial services. Works with the campus maintenance leads to set standards and ensure quality control. Encourages staff professional development through training, goal setting, and performance reviews. Determines the need for and hires temporary employees;
    • Provides the campus leads guidance and leadership, ensuring all health and safety requirements are met;
    • Provides reports on all areas of the physical plant, bringing technical expertise, advice, and experience in building and grounds management, planned maintenance, energy management, and maximizing the use of facilities;
    • Manages the daily needs for all building and construction projects;
    • Creates, oversees, and manages all aspects of the equipment replacement and  building maintenance program funded by the school’s facilities budget and PPRSM reserve;
    • Works directly with other administrators to understand and support the evolving facilities needs related to personnel changes, program development, and curriculum growth;
    • Investigate and resolve building maintenance issues, concerns, and trends;
    • Formulates long-range maintenance and facility goals;


    Facility Management Responsibilities
    • Protects, maintains, and enhances the facilities and related assets of the school in a safe and efficient manner, including buildings, grounds, furniture, fixtures, fire safety and security equipment, and maintenance equipment and supplies. Safeguards related plans, documents, and files;
    • Stays abreast of the changing needs of INT’Ls curricular, co-curricular, and camp programs in order to respond in a timely manner to any necessary changes in facilities or operating services;
    • Partners with the Principals to rectify any ADA needs or accommodations required to meet compliance regulations;
    • Develops staff training programs to ensure that the school remains in compliance with these regulations;
    • Solicits bids for evaluates, and recommends outside contractors and monitors their performance;
    • Oversees purchasing and inventory of equipment and supplies for maintenance, grounds, security, and custodial services, ensuring adequate inventory of all necessary supplies and parts;
    • Actively works to identify and implement energy-saving measures;
    • Collaborate with department leaders regarding events, ensuring facilities staffing coverage is scheduled as requested, participating in the event planning and set-up, etc.
    • Other duties as assigned.

    Other Responsibilities

    • Evaluates the school’s security program on a continuing basis, recommending and leading changes as needed. Works with administrators, faculty, and staff to coordinate any special security needs necessary for meetings or school events. Takes a leadership role in the safety and emergency operations of INTL, including planning and drills. Participates in the activities of the school’s Safety Committee;
    • Collaborates in managing all health and safety processes, best practices, supplies, and training, as well as compliance with all local, state, and national agencies. Partners with the Head of School, the Division Heads, and other administrators as needed;
    • Interprets and directs the school’s safety program to ensure compliance with applicable federal, state, and local environmental and safety regulations, including OSHA, EPA, etc;
    • Develops and implements strategies to minimize property loss.  Manages distribution and collection of keys;
    • Jointly with the Chief Financial Officer, develops operating and capital budgets for facilities, including annual, long term and project budgets. Responsible for cost and budget control;
    • Reviews purchase orders for budget, choice of vendor, proper approval, and bids or quotes when required;
    • Develops project specifications, solicits project bids, and consults, as necessary, with trade and contractor representatives for school repairs and maintenance;
    • Works with the school’s technology staff to plan and adopt hardware, software, and associated training related to technology upgrades that support the school’s physical plant  operations;
    • Manages additional projects or responsibilities as directed by the CFO or Head of School.


    Qualifications
    • A college degree is preferred, and 10-15 years of previously related experience is required.
    • Understand and follow oral and written instructions.
    • Must have TB clearance prior to the start of employment and current vaccinations as required by licensing or other state-required legislation
    • Ability to obtain the O.S.H.A. certification within 90 days of employment and apply working knowledge of O.S.H.A. requirements to your daily schedule.
    • Must pass federal and state criminal background checks and have the ability to work in a licensed daycare facility.
    • Must possess a valid CA driver’s license and maintain automobile insurance at all times. 
    • Physical Requirements and Work Environment
    • Ability to frequently lift equipment and materials weighing 30 pounds or more is required.
    • Crawl, climb ladders, twist, turn, and reach in completing a variety of job duties.
    • Work outside in hot or cold conditions for extended periods of time

  • Early Years Program- Learning Assistant

    As a Learning Assistant at Silicon Valley International School you will work closely with our international group of teachers to support early years students.  Your primary responsibility is in the safety and social emotional wellbeing of our students. This is a full time position with a comprehensive benefits package, competitive pay commensurate with years of experience and generous paid time off.
     
    The Learning Assistant works within the framework of the job description and assignment and makes decisions only within that framework.
     
    Learning Assistants are required to maintain certifications as required by the school and/or Social Services. In addition, they should keep all relevant certifications current. 
     
    This position is an hourly, full-time, non-exempt role that comes with full benefits. You will report to the Director of Licensing and Enrichment Support. The base salary range for this position is between (CO-1) $57,283.00 and (CO-20+) $75,435.00 per year, depending on your years of relevant work experience and educational attainment.
     
    All prospective applicants are required to be inoculated against COVID-19, subject to the provisions for medical or religious exceptions. It should be noted that the school will require substantial documentation to support any requests for exemption.
    Learning-Assistants are expected to:
    • Follow Social Services requirements and stay with the students at all times.
    • Demonstrate ethical behavior, responsible behavior towards attendance and work schedule
    • Be knowledgeable of and follow School policies and procedures, particularly those dealing with confidentiality, cross-cultural understanding, discipline, harassment and communication, health and safety, or Licensing Regulations.

    • Support and promote goals for the class community, as well as the goals for the social and emotional development of the children
    • Lead some small group activities as instructed by the teacher/ Enrichment Support Director 
    • Meet weekly with the teacher to get information on upcoming activities and preparation needed
    • Assist in preparing the learning environment, setting up activity centers, and preparing needed material and supplies in advance, as instructed by the teacher/Licensing & Enrichment Director
    • Note: Preparation should be made when the Employee is not responsible for supervising the students.
    During the academic year, learning-assistants are not expected to:
    • Plan and initiate learning activities; for example, develop specific lesson plans, select learning materials
    • Report to parents on pedagogical matters or student academic performances

      Expectations for mini-camp and summer care

    During summer care and mini-camp, learning assistants are considered camp counselors. They are expected to plan and implement activities under the guidance and supervision of the Licensing and Enrichment Support Director; who will provide a theme for the camps and help to organize planning. The learning assistance [or camp counselor] can use the available time the week before the mini-camp for planning and preparation. Time will be given in the summer care schedule to allow for weekly planning and preparation.  
     
    Working Conditions

  • PYP Learning Specialist & Chinese as a Second Language Teacher (PS-5th Grade)

    Silicon Valley International School (INTL) seeks a Learning Specialist/CSL Teacher to become a member of the Learning Support Teaching Team serving students in our Early Years and Elementary School (PS- 5th grade).

    Learning Support at INTL aims to provide all students with the pathway to thrive socially, emotionally, and academically. The learning specialist will work closely and in partnership with teachers, administrators, parents, and other members of the student services team. The CSL teacher aims to support students newer to Mandarin with individualized and small-group instruction that targets learning (predominantly in PS-K).

    The learning specialist/CSL teacher will teach (push-in and pull-out support) students who have been diagnosed with learning differences or identified as having learning, academic, or behavioral difficulties. The learning specialist/CSL teacher will be responsible for identifying learning styles, collecting and collating data to analyze and interpret, observing and screening students, and providing services and support to students and teachers.

    The ideal candidate will have excellent social and emotional skills, a strong understanding of inquiry-based learning approaches and bilingual education, demonstrated DEI skills, and the ability to stay current on the latest research in special education and language learning.
    The compensation range for this position is between $69,000 and $100,000, and it depends on educational attainment and professional work experience.

    Primary Responsibilities

    • Meets regularly with students (to provide individual and/or small group academic interventions according to need) who have learning differences to support classroom learning and their self-confidence
    • Meets regularly with students (to provide individual and/or small group targeted support) who are on the CSL caseload to support classroom learning and their self-confidence
    • Administers and reviews assessments, develop learning plans, document intervention and progress

    • Reads and distills neuropsychological reports and interprets results for school personnel
    • Robustly uses data to assess the current and long-term needs of our population.

    Position Qualifications/Skills

    • Master’s Degree from an accredited college or university in Special Education or Education Preferred
      • Additional qualifications or certifications preferred but not required (such as, Educational Therapy, Reading Remediation, Gifted and Talented Education, Licensed Specialist in School Psychology (LSSP), Board Certified Educational Therapist (BCET), or Educational Therapist/Professional (ET/P))
    • Minimum of two years of successful teaching experience, preferably in independent schools
    • Capacity to work effectively in a multicultural environment with an understanding and appreciation for diversity

    Compensation and Benefits
    Our compensation is based on education and years of experience. The salary range for this full-time position for the 2204-25 school year is $69,000 to $100,000.

  • Registrar & Database Administrator

    Position Overview
    Silicon Valley International School is currently searching for a Registrar and Special Project Coordinator to join our team. The successful candidate will be responsible for overseeing all academic records related to our students, including class enrollment, schedules, report cards, and other cumulative records.

    The Registrar will work closely with various stakeholders and departments to ensure the accuracy of student records, organize records, and provide academic information when needed. Additionally, they will be assigned special projects as needed, such as school merge coordination and reopening logistics. 

    The ideal candidate for this position must have excellent organizational skills and be proficient in computer programs and databases [i.e., Asana, Blackbaud Education Management, MacOS]. They will work with a small team to catalog and maintain student academic records.

    The position reports directly to the Chief Information Officer (CIO) and is an hourly, non-exempt position with benefits. The salary range is between $35.00 to $50.00 per hour and will be determined based on the candidate's relevant work experience and academic attainment.



    Primary Responsibilities
    • Registrar/Data Management
    • Maintain up-to-date and accurate physical and computerized auditable student and associated family records.
    • Record, create reports, and maintain correspondence of student records, including but not limited to student cumulative folders, demographics, grades, report cards, diplomas, vaccination and/or immunization records, and transcripts.
    • Assist with the enrollment, withdrawals, and transfer of students and process applicable records.
    • Provide support for the Chief Information Officer by maintaining school databases.
    • Maintain database integrity and security through regular monitoring, error correction, and data clean-up.
    • Responsible for the creation, distribution, and completion of all school forms.
    • Assist families with forms as necessary.
    • Create and prepare report cards and transcripts for distribution to families.
    • Support the CIO for the Student Information System (INTLnet).
    • Update and manage schedules in the SIS (INTLnet).
    • Manage Emergency notification system.
    • Create reports and import and export data.

    Position Qualifications/Skills
    • Experience with databases, records management, and/or scheduling in education, corporate, and/or non-profit environments is preferred.
    • Apple/macOS experience preferred.
    • Very strong spreadsheet skills (Microsoft Excel or Google Sheets preferred).
    • Strong proficiency with computer technologies, including databases, scheduling, productivity applications, and project management tools such as Asana.
    • Knowledge or experience with Blackbaud Education Management products is a strong plus.

    Our compensation is based on education and years of experience. The salary range for this full-time position is based on an hourly rate of $35.00 to $50.00.  This position is categorized as an administrative staff member; we are therefore pleased to offer the following comprehensive benefits package,  which includes the following:

    Employer-paid medical, dental, and vision insurance for the employee only
    • Employer-paid short-term & long-term disability, life insurance, and employee assistance program 
    • Accrue six weeks of paid time off [9.85 hours per paid period]
    • Two weeks of holiday pay in December [which will include Christmas and New Year’s, per the school calendar]

  • Upper School Physical and Health Education Teacher

    Silicon Valley International School (INTL) seeks an Upper School (Grades 6-10) Physical and Health Education Teacher for the  2024-2025 school year. 

    Teachers at INTL develop schemes of work and lesson plans in line with the IB Middle Years Programme curricular framework and objectives. They facilitate learning by establishing a relationship with students and by their organization of learning resources and the classroom learning environment. They develop and foster the appropriate skills and social abilities to enable the optimum development of children according to age, ability, and aptitude. They link students' knowledge to earlier learning and develop ways to encourage it further. They challenge and inspire students to help them deepen their knowledge and understanding.  

    The Upper School Physical and Health Education Teacher must demonstrate commitment to INTL’s mission and the population we serve and be experienced with teaching at the Middle School and lower High School levels. They must also be responsible, self-motivated, friendly, willing to work with a team of colleagues, and accepting and adaptable to a working environment with different cultures.

    The position involves teaching through inquiry according to the MYP framework while also ensuring necessary skill acquisition and collaborating extensively. Time for collaboration with the other teachers is built into the schedule. INTL seeks teachers who know how to combine academic rigour with student engagement and have experience with inquiry-based teaching and learning.

    The position may also include responsibility for our high school outdoor education program and/or athletic director responsibilities for our middle school sports programs, depending on the experience and suitability of the successful candidate.

    Primary Responsibilities

    Typical work activities include:
    • Teaching all areas of the MYP curriculum as designated (in subject area as well as interdisciplinary units)
    • Following the guidelines and mission of INTL and IB
    • Organizing the classroom and learning resources to create a positive learning environment
    • Planning, preparing, and presenting lessons that differentiate for the needs of the ability range and levels within the class
    • Designing units integrating the elements of the MYP curricular framework and informed by assessment
      Motivating students with enthusiastic, imaginative presentations/engagements and respectful interactions
    • Managing student behavior and maintaining discipline
      Preparing, documenting, evaluating, and communicating to facilitate positive student development
    • Meeting requirements for the assessment and recording of students' development
      Providing feedback to parents on the student's progress at parents' conferences and other (often less formal) meetings and report cards
    • Collaborating with others to plan and coordinate work, liaising with colleagues and working flexibly
      Staying up to date with changes and developments in the structure of the national and international curricula 
    • Occasionally taking part in school events and activities that can be run at weekends or evenings outside of working hours
    • Planning and participating in field trips
      Leading an Advisory group and/or offering student clubs
     
    Qualifications
    • University degree(s) relevant to the role
    • Proficiency in English to teach and collaborate
      Minimum of 5 years  teaching experience strongly preferred
    • Experience with IB teaching is strongly preferred
    • Experience with outdoor education and/or athletic director responsibilities is strongly preferred

    Compensation and benefits
    Our compensation is based on education and years of experience. The salary range for this full-time teaching position for the 2024-25 school year is $73,460 (BA Step 3) to $118,672 (PhD Step 22).  We offer an excellent and comprehensive benefits package, including:

  • Substitute Teacher (German, French, Mandarin and English Speakers) Pre-K to 12th

    Silicon Valley International School [INTL] seeks variable-hour substitute teachers for its elementary, middle, and early years programs, beginning immediately. We seek substitute teachers who are native speakers and literate in French, Mandarin, German, or English.
